Set Up Billing Codes
Charges, payments, and credits will use quick-reference codes to tell why a family was charged (tuition, book fees, etc.). This lets you categorize your school’s income to whatever degree of detail you wish. One of the most unique features in School Minder is the ability to implement your school’s billing policies on a charge code level. Many schools do not assess late fees on late fees. Others do not allow discounts on non-tuition charges. School Minder is one of the only billing systems available that gives you the flexibility and power to handle these special situations.

Set Up Recurring Charge Schedules
Another unique feature of our Billing Module is in the area of recurring charges. With our recurring charge program, you will be able to easily set up and bill recurring charges, such as tuition. Using our customizable charge schedule approach, any necessary changes can be made throughout the school year by simply modifying a family’s charge schedule to alter future charge installments. Charge schedules can be printed and sent to your families to give them a convenient reminder of their payment obligations for the school year.

Mass-Assign Charges
School Minder’s powerful mass billing capabilities enable you to charge familes or groups of students with a common fee. This feature is often used to assess activity fees, locker fees, and even registration charges. After identifying who you want billed and the charge you want assessed, simply click the Start button and School Minder will do the rest!

Late-Fee Assessment
This procedure is used to assess late fees to families with delinquent account balances. School Minder gives you more options and flexibility in this process than any competitive software package. You will receive a Trial Late Fee Assessment Report before any late fees are actually charged. You will know exactly who is going to be charged and why, allowing you to make any necessary corrections before processing.

Statements
School Minder prints several styles of billing statements to provide your families with a recap of past charges and payments as well as current amounts due. Select which families receive statements such, as those with past-due amounts. Print combined statements or statements based on regular school tuition/fees or daycare charges only. This enables schools with daycares to maintain daycare statements on a calendar year basis and regular school charges on a school year basis. Send additional copies of statements as needed to accommodate blended families and other special situations.

Billing Reports
School Minder Billing supports both Cash and Accrual methods of accounting - yet another feature that sets School Minder apart. School Minder’s powerful Billing Reports module gives you access to the information you need to manage your school’s Accounts Receivable operations.

Post to Accounting
School Minder can create a posting file of billing data (grouped by account numbers) for importing into your Accounting software. If you use Accountrak (Hunter Systems’ companion accounting software for schools), this posting file is imported right from the General Ledger Menu.
